• Business clients — businesses that sign up for and use LeadMachineAI.
• Website visitors — people who interact with our AI chat widget on a client's website.

2. Information We Collect

From business clients:

• Name, business name, and email address provided at signup
• Business information entered into your profile (services, service area, pricing, etc.)
• Usage data (number of AI replies used, leads captured)

From website visitors (via the chat widget):

• Name, phone number, and email address voluntarily shared during a chat
• The content of conversations with the AI assistant
• General information such as the page visited and approximate time of interaction

We do not collect payment card information. We do not sell your data to third parties.

3. How We Use Your Information

• To provide and operate the LeadMachineAI service
• To deliver AI-generated responses on behalf of the business client
• To display captured lead information in the client's portal
• To send service-related communications (e.g. access codes, updates)
• To improve the accuracy and reliability of the AI system

We do not use visitor chat data for advertising purposes.

4. Artificial Intelligence Disclosure

LeadMachineAI uses AI technology (powered by OpenAI) to generate responses to website visitor questions. Conversations with the chat widget are handled by an AI, not a human employee. The AI is configured based on information provided by the business client. Responses are intended for general informational purposes only and may not always be accurate or complete. Visitors should contact the business directly for critical or time-sensitive matters.

5. Data Sharing

We share data only with the following:

• OpenAI — to generate AI chat responses. Conversation content is sent to OpenAI's API. OpenAI's privacy policy applies to their processing.
• Supabase — our database provider, where lead and account data is stored securely.
• Business clients — visitor chat data and captured leads are shared with the business that deployed the widget on their website.

We do not sell, rent, or share your data with advertisers or unrelated third parties.

6. Data Retention

We retain business account data for as long as your account is active. Lead and chat data is retained to support your portal. You may request deletion of your data at any time by contacting us.

7. Your Rights

You have the right to:

• Request access to the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Opt out of any non-essential communications

8. Security

We use industry-standard security practices to protect your data, including encrypted connections (HTTPS) and access controls. No method of transmission or storage is 100% secure, but we take reasonable steps to protect your information.

9. Children's Privacy

LeadMachineAI is not directed at children under the age of 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this policy from time to time. If we make significant changes, we will notify active clients. Continued use of the service after changes constitutes acceptance of the updated policy.
